The Challenge

Internal communications can be a dry subject, and a staff conference where head office teams get together to listen to a company’s plans has the potential to be a pretty average affair.

Our client, an OEM, wanted something better. The directors wanted a staff conference to inspire their teams; they wanted to let the teams know about their plans but also to listen to their ideas and to work on solutions. Importantly, the conference was the launchpad for a new campaign, marking the company’s seismic shift from car manufacturer to mobility company.

The Solution

With more than 500 delegates packed into the conferencing facilities at Epsom Racecourse, the challenge for RTS Group was to keep them engaged and to leave motivated.

Taking the content that our client provided, our team devised a way of delivering that information using the latest technology to engage the audience, create a huge wow factor and make them feel truly immersed in the campaign.

The morning comprised presentations from directors, but with the innovation of digital interaction; the audience had iPads and could Tweet and fire questions at the presenters.

To emphasise the fast-pace and increased expectations of the vehicle-buying public, we even ordered and had delivered an Amazon Echo during a two-hour slot, and the audience could track the delivery live on a big screen.

Facebook Live was used to stream video, and people are invited to react with an emoji – whether they liked, loved or were wowed by the content.

In the afternoon, the delegates were split into 18 workshops, with each exploring a customer touch point and how improvements could be made and consistency achieved. Each was led by an innovation champion, all feeding back of the rest of the delegates.

Again, Facebook Live and accompanying emojis gave delegates a chance to comment on their colleagues’ progress and recommendations.

The Result

Our client loved the outcome. A potentially dry staff conference was transformed into an interactive, educational, engaging and inspirational experience. And the client was so impressed they’ve booked us to run the same event next year – and we’re on a mission to make it even bigger and better.
